1. Introduction
Welcome to GradeFlow, a platform operated by NexxtBrain Technologies (“we”, “us”, “our”). GradeFlow enables secondary/high schools to upload internal and WAEC examination result data and receive automated analytics, reports, and AI-assisted insights through prompt-based queries.
By accessing or using GradeFlow, you agree to these Terms and Conditions.
2. Eligibility & Authorization
GradeFlow is intended for:
- Registered secondary/high schools
- Authorized school administrators and teachers
By using the Platform, you confirm that:
- You are authorized by your institution to upload and process student academic data
- You have obtained all required permissions and consents under applicable laws
3. Description of Services
GradeFlow provides:
- Upload and processing of exam (WAEC and internal) result (HTML / PDF) or structured data
- Automated academic analytics and visual reports
- AI-powered prompt-based analysis, allowing users to ask questions and receive refined insights from uploaded data
GradeFlow does not alter WAEC results. All outputs are derived from user-provided data.
4. AI-Powered Features
GradeFlow includes artificial intelligence tools that:
- Analyze uploaded academic data
- Generate summaries, trends, comparisons, and predictions
- Respond to user prompts based on the available dataset
Important AI Disclaimer
- AI outputs are informational and analytical only
- AI responses do not replace professional educational judgment
- Final academic, administrative, or policy decisions remain the responsibility of the school
We do not guarantee that AI-generated insights are error-free or suitable for every context.
5. User Responsibilities
You agree to:
- Upload accurate, lawful, and authorized data
- Use AI prompts responsibly and ethically
- Review and verify AI-generated insights before relying on them
- Maintain the confidentiality of login credentials
You must not:
- Upload unauthorized, misleading, or falsified data
- Use the AI feature to attempt re-identification of students where anonymization is applied
- Misuse the Platform for non-educational or unlawful purposes
6. Data Ownership & Usage
- Schools retain full ownership of all uploaded data
- GradeFlow does not claim ownership of student or school data
- By using the Platform, you grant us permission to process data, run analytics, and generate AI-assisted insights solely for service delivery and platform improvement
7. Confidentiality & Security
We treat all uploaded academic data as confidential and implement:
- Secure infrastructure
- Encrypted data transmission
- Access controls
8. Availability & Service Limitations
We strive for reliable service availability but do not guarantee uninterrupted access. Temporary downtime may occur due to maintenance, updates, or technical issues.
9. Limitation of Liability
GradeFlow is provided “as is”. We are not liable for:
- Errors originating from uploaded data
- Misinterpretation of AI-generated insights
- Decisions made based on analytics or AI outputs
Our total liability shall not exceed the fees paid (if any) in the preceding 12 months.
10. Termination
We may suspend or terminate access if:
- These Terms are violated
- Data misuse is detected
- Required by law
Users may discontinue use at any time.
11. Changes to Terms
We may update these Terms periodically. Continued use constitutes acceptance of changes.
12. Governing Law
These Terms are governed by the laws of Ghana.
